Call to Order

Marilee called the meeting to order at 4:35 PM.

Algona Concert, November 8

The schedule for the day is posted on the website blog, with the members meeting at HAUMC at 11:00 AM on Nov. 8 for loading. The group will car pool from the church parking lot and everyone is expected to travel back to the church that night to unload.

Insurance issues

The Church of the Epiphany: The church required BotL to obtain a liability insurance policy for the one-day workshop and concert, which is the first time in twelve years the group has experienced this type of request. Kristen has an experienced insurance agent pursuing quotes for an annual policy. The group will continue the discussion when the quotes are available for review.

Physical Damage Coverage for Equipment: There is a concern if the equipment would be covered should there be any type of damage while the bells are away from HAUMC and in the care of BotL. Marilee is taking an on-line course on non-profits which may provide an answer to the question.

Damage to Penske Truck and Lyngblomsten

The bill from Penske for repair of the truck roof was $111.00. Kristen will speak with Scott and confirm that any bills for damage at Lyngblomsten are handled.

Seminar 2009

Marilee reported that nothing has been done as yet for Seminar in 2009. Those that have taught workshop classes should give copies of their curriculum to Laurie Pyle or Jan Rasmussen. They plan to build a library of courses and curriculum taught by BotL members. Marilee was in contact with Jan and Laurie to make sure they handle booking HAUMC for the event. Sarah and Anne Jeddeloh can provide historical information about what was done for Seminar 2008.

Discussion
Change in Seminar Format
Discussion followed regarding a possible change in format for Seminar to keep the event fresh. Citing that numbers are low when Seminar is held the same year as the AGEHR Area VII festival, the group considered holding an event with a different focus every other year, beginning in 2010. The new format, with a focus on choirs, could offer directors and their choirs an opportunity to work on music for the entire church year, or perhaps using the repertoire chosen for the area festival to be held the following June. It was agreed that the format for Seminar 2009 should not change.

Bolero Concert, April 4

Anne reported that posters created by Marilee are being printed and will be available soon. Bill will be in contact with Bill Alexander and Monica McGowan to obtain titles of their massed pieces. Concert will be held at the Schneider Theater at the Bloomington Center for the Arts. 1800 W. Old Shakopee Road, Bloomington. There is a two-tier ticket price: $20 for main floor; $25 for balcony seats (better view).

Upcoming taping sessions

Bill reported the Nov. 22 session will need extra hands due to the complexity of the pieces, percussion, etc. The Dec. 6 session will require an eight person choir to play a hand chime part on one arrangement.

January Concert at White Bear Lake UMC

Bill plans to use three to four of the pieces learned for the taping sessions on the concert.

Items to consider:

Equipment concerns: should we employ roadies again?

Workshop class leader shortages: should we really promote workshops?

Work on a concert contract form

An all-day event in the fall for members: fellowship, play, and rehearsal to start off the year.

Discussion

Lyngblomsten Concert on October 12

Kristen reported the pre-concert duties are in order. Marilee will serve as liaison the day of the concert in Kristen’s absence. Equipment should arrive 12:30 pm or later; concert is at 3:00 PM. Scott has rented a truck for the day and will need people to help load at 11:30 AM. Section leaders will contact their people for volunteering: half to load the truck before the concert and half to unload after the concert. Consider loading on the west side of the building. It was also noted that the concert can not go longer than one hour.

Workshop/Concert at Epiphany Catholic Church on October 25

Kristen reported the class leadership is assigned. She will be in contact with the registrar of the event to confirm numbers (classes, rooms, attendees, and bell setups) with the group.

Bellfest! 2009

Confirmation of use of North Heights for March 7, 2009 should follow soon. The board agreed that Bellfest! 2010 will be held on March 6 and Kristen will handle reserving the date on the NHLC calendar. Marilee and Kristen will compile a list of directors to consider for 2010, both local and out of state, and invitations will be extended soon.

CD Release Concert on April 18, Church of St. Edward

The concert should be a “go”, but Kristen would like to personally confirm with the contact at the church. There is another church that has expressed interest in having BotL play on their music series. Kristen will be in contact for the 2009-10 season.

Handbell refurbishing

Marilee suggested that the bells need repair and cleaning. Bill will contact Monica McGowan and Kevin Shull for quotes and timelines for the work. Cost of the works would be split with Hennepin Avenue UMC. A goal would be to have them done by the CD recording, or at the latest, the Bolero Concert.

Concert/Rehearsal Evaluation

• If ringers are able to arrive early to rehearsal and have their equipment ready, they should offer help to the bass bells.
  
• Section Leaders: Christina will lead the bass, Jennifer will lead the treble, and Marilee will lead the middle.
  
• Discussion was held about possibly dropping a piece from the 10/12 concert. The discussion was tabled until the section leaders report to Bill on the outcome of the sectional rehearsal. Bill will contact the section leaders.
  
• Bill noted that rehearsals are going well, and that given the new music and new ringers, we’re doing well.
  
• It was noted the first concert of the season should be scheduled later in October.
  
• Ron Olsen will video tape the 10/12 concert.
